If you go over your plan
Nothing stops when you go over: invitations, uploads, and video keep working. Extra usage is billed monthly — on annual plans too, as a separate monthly invoice.

Frequently asked questions
Who owns our data?
Your institution retains ownership of all data you upload. Academqo acts as a processor under our Data Processing Agreement.
Are you GDPR compliant?
Yes. We host in the EU, we handle data export and erasure requests, and every institution gets a data processing agreement.
How does the free trial work?
You get full access for 14 days. You are not charged until the trial ends.
Can we cancel anytime?
Yes. You can cancel your subscription from the billing settings. Access continues until the end of the paid period.
Which currency will we be billed in?
Your billing currency is determined automatically from your location (Euro countries see EUR, others USD) and is fixed when you subscribe.
What counts as an active user?
Your students: everyone with the student role who has accepted their invitation. Staff — admins, registrars, and teachers — never count. Pending invitations don’t count until they are accepted, and deleted users stop counting straight away.
What counts toward the programme limit?
Starter includes 5 programmes; Growth and Institution have no limit. If you already have more — for example after moving to Starter — nothing is removed: your existing programmes stay, you just can’t add new ones while you are at or above the limit.
How billing works
We measure usage once a day and bill the daily average above your plan once a month. On a monthly plan it goes on your next invoice; on an annual plan it arrives as a separate monthly invoice. Nothing is ever blocked: invitations always go through, uploads keep working however much you store, and extra video stays available. Recordings of live lessons count towards file storage, not towards your video hours.
You’ll see separate lines for:
- Extra students on Starter or Growth, based on the daily average above your plan. Staff never count. Move up to a plan that fits and we drop the extra charge for that month.
- Extra students on Institution, charged per student above the users your plan includes, at a lower rate again for large numbers.
- Extra file storage, charged per GB per month on the daily average above your plan. There is no ceiling, so uploads never stop.
- Extra stored video hours above your plan, charged per hour per month at the same rate on every plan, based on the daily average. Delete videos and the average falls; move up a plan mid-month and we restart the sample window.
What if we have more students than our plan includes?
Nothing is blocked, and you can keep inviting. On Starter and Growth, each extra student costs $1 a month, based on your daily average above the plan. On Institution, students above the 750 your plan includes are charged at a lower rate that drops again for large numbers — see the table below. Staff never count.
What if we store more video than our plan includes?
We charge a flat rate per additional stored video hour per month — the same on every plan — based on your day-by-day average above the included hours. It is billed monthly, on annual plans too. That covers processing, secure hosting, and streaming under normal use. Delete videos and your average (and the charge) falls.
Is streaming by our participants included?
Yes. Normal streaming by enrolled participants is included with your plan. If usage becomes exceptional, Academqo will contact your institution before applying any restrictions or additional charges.
What happens if we need more file storage?
Uploads never stop. Past the file storage in your plan, we charge a simple rate per extra GB per month, with no ceiling. That rate is the same on every plan, because storing a PDF costs the same whether your school is small or large.
Is the AI assistant included?
Yes, on every plan, under fair use. There are no credits or AI actions to keep track of. Only if an institution’s use goes far beyond normal does AI pause until the next billing month — everything else keeps working.
What happens if we downgrade?
A downgrade takes effect at the end of the period you have already paid for; until then you keep everything in your current plan, and there is no refund for the rest of the period. If you are still above the new plan’s limits by then, the excess is charged as extra usage, and we warn you before you confirm. Features that belong to a higher plan stop being available for new actions from the change, but everything you have already created stays accessible.
