If you go over your plan
Every plan includes a generous amount of storage and user places. If you go a little over, we keep everything running and add a small charge to your next invoice — so a lesson or upload is never cut off halfway. User places and file storage are measured as a day-by-day average over your billing period; video is charged for hours you add beyond your allowance.

Frequently asked questions
Who owns our data?
Your institution retains ownership of all data you upload. Academqo acts as a processor under our Data Processing Agreement.
Are you GDPR compliant?
Yes. We host in the EU, we handle data export and erasure requests, and every institution gets a data processing agreement.
How does the free trial work?
You get full access for 14 days. A credit card or any available payment method is required at signup, but you are not charged until the trial ends.
Can we cancel anytime?
Yes. You can cancel your subscription from the billing settings. Access continues until the end of the paid period.
Which currency will we be billed in?
Your billing currency is determined automatically from your location (Euro countries see EUR, others USD) and is fixed when you subscribe.
How billing works
We measure usage once a day and add it to your regular subscription invoice. Invitations are never blocked outright: if someone accepts and that puts you over your plan, we simply charge for the extra place. Uploads keep working past your storage allowance until you reach a monthly ceiling, then pause. Recordings of live lessons count towards file storage, not towards your video hours.
You’ll see separate lines for:
- Extra users on Starter or Growth, based on the daily average above your plan. Move up to a plan that fits and we drop the extra charge for that period.
- Extra file storage, charged per GB per month, based on the daily average above your plan. The same applies if you move up a plan.
- Extra video hours added beyond your allowance this period. Move up to a plan that fits and any pending video charge is dropped.
- If you reach the monthly ceiling for files or video, we’ll ask you to move up a plan rather than let the charges keep stacking.
- Schools with more than 500 users get pricing based on actual usage, or a quote made for them.
What if we go over our user limit?
On Starter and Growth, if you add a few people past your plan limit, we charge a small monthly amount per extra user until you move up a plan. Schools with more than 500 people talk to us about usage-based pricing.
Why do extra video hours cost more on higher plans?
Video costs us more when more students press play. Higher plans usually mean larger schools, so each extra hour of video is watched by more people — and the rate rises with it.
What happens if we need more file storage?
If you go past the file storage included in your plan, we charge a simple monthly rate per extra GB. That rate is the same on every plan, because sending a PDF costs about the same whether you have 50 students or 500.
What happens if we downgrade?
If you are still above the limits of the new plan, we charge for the excess at the new plan’s rates for the rest of the billing period, and we warn you before you confirm. Features that belong to a higher plan stop being available for new actions straight away, but everything you have already created stays accessible.
