Administrative staff reviewing course enrolments together

01The basics

What is course administration software?

Course administration software is a single system where a training provider records everything that happens around a programme: who enrolled, who attended, what was graded, what needs invoicing, and which diploma or certificate was issued.

Without one, that information scatters across sign-up forms, spreadsheets, a shared calendar, an accounting package, and the admin team's inbox. Every change has to be made in several places, and nobody is certain which list is the correct one.

In Academqo those parts are connected rather than merely adjacent. An enrolment creates a learner, places them in a class, puts their lessons on the schedule, and forms the basis for the invoice and the eventual diploma.

In short

  • Learner records with contact details, class, and programme history
  • Enrolments, online applications, and waiting lists
  • Attendance per lesson and grading per assignment
  • Tuition invoicing, tied to the enrolment it came from
  • Diplomas with a verification link third parties can check

Delivering

Attendance and results become records on their own

Teachers record attendance and grade assignments in their own portal. That data lands straight in the learner's record, without the admin team re-entering it.

  • Attendance per lesson
  • Assignments with file uploads or written answers
  • Grades and feedback visible to the learner immediately
  • One grading queue per teacher

04Who it fits

Providers working with cohorts and classes

Academqo is built for programmes that run for weeks or years, not for standalone course days. If you work with fixed groups, a lesson programme, and a diploma at the end, it fits.

05Frequently asked

Questions about course administration

What is course administration software?
Course administration software is a central system where a training provider tracks learners, enrolments, schedules, attendance, invoicing, and certification. It replaces the loose spreadsheets, forms, and shared folders many providers run their administration on today.
How is it different from a course booking system?
The terms get used interchangeably. Booking systems emphasise standalone course days and open enrolment; course administration usually means longer tracks with fixed groups, a lesson programme, and a diploma. Academqo is built for the second kind.
Is Academqo suitable for one- or two-day courses?
It can work, but it isn't what we built it for. Academqo works with academic years, classes, and a lesson programme you reuse per cohort. If you mainly run single-day open-enrolment training, a course booking system will probably suit you better.
Can I invoice tuition from the system?
Yes. Tuition invoicing is part of the platform and is tied to the learner's enrolment, depending on your plan. Your own Academqo subscription is billed separately each month.
Where is my learners' data stored?
Inside the European Union. Every institution gets its own isolated environment and subdomain, and we sign a data processing agreement with each customer. Data exports are built in, along with a recovery window before anything is permanently removed.
How long before we're live?
There is no implementation project or external consultant. You create an institution, set up your programmes and classes, and invite teachers and learners by email. The free trial exists so you can work through that at your own pace.
